Volunteer Roles & Descriptions

Volunteers Are A Critical Part of Summer Swimming! We Thank You For Volunteering!

Below are the jobs required to run our meets. The majority of jobs require no prior experience and are easy and fun to learn. You can sign-up for jobs on your Swimtopia account. We rely on every family to volunteer to make the season run smoothly. Feel free to reach out to the Volunteer Coordinator for more information.

All Meets

Timers - 3 timers per lane are required for all meets (9 from each team). A stopwatch is provided and you are trained before the meet begins. Standing for long periods is required. Please bear in mind that Wednesday night meets are more relaxed, but they usually go until about 9 p.m. Please do not sign up for that slot unless you are able to stay for the whole meet (or find someone to relieve you).

Stroke and Turn Judges (MCSL Training Required) - Stroke and Turn Judges determine whether the swimmers perform their strokes and turns in accordance with the prescribed rules of MCSL. Two Otters Stroke and Turn Judges are required at each swim meet, both home and away.

Assistant Clerk of Course - The Assistant Clerk of Course will help assign swimmers to lanes and may monitor the swimmers' whereabouts.

Verifier / Automation Helper - At the meet, the Verifier validates the times and any disqualifications that are submitted for system entry. Once times are verified, it is handed over to Automation for official entry into computer system. Automation enters swimmers' times and/or DQs and print the results. Once results are confirmed by Verifiers, they are posted for viewing. Verifiers stay for the entire duration of a meet.

Ribbon Writers (Experience helpful) - Ribbon Writers will attach "Placement" stickers for each event onto the ribbons during the meet. They are also responsible for sorting and organizing the ribbons as they are generated. Ribbon writers also put the ribbons in each family's folder in the bin outside the Clubhouse locker rooms. Ribbon writers are needed for home and away meets and usually sit near Automation during the meet.

Runner - The runner collects the time sheets/cards from the timers and turns them in to the computer operators after each event is completed. The Runner role requires standing for the entire meet and being able to walk back and forth from the starting blocks to the Automation area throughout meet. We usually have two runners for each home and away meet.

Photographer - Attend meets, photograph athletes in an unbiased way. Photographers and Banquet Slide Show are often performed by the same people.

Tent Transport - Transport, set up, and tear down tents for A/B meets. Heavy lifting required. Have use of a vehicle with large payload area available to transport Tents from the Otter shed to AWAY A/B meets or pool deck for home meets.

Home Meets

Referee (MCSL Training Required) - The Referee is the final arbiter of all decisions and questions during the meet and has full authority over all officials, assigning and instructing them. The referee must be thoroughly familiar with all applicable USS rules and MCSL rules, all meet procedures and duties of all officials. We need a Referee for every home meet.

B-Meet Automation (training required) - runs automation for the meet, coordinates automation volunteers.

Clerk of Course - All swimmers report to the Clerk of Course for their event. The Clerk(s) of Course organizes the swimmers according to lane assignments. He/She arranges with the Announcer to call the events with adequate time intervals. The Clerk of Course also records "scratched" swimmers.

Concessions Coordinator - Order items, purchase items, store items for sales during meets. coordinate additional volunteers for sales during home meets. ***Keep receipts for Reimbursements

Concessions Shopper - Coordinate with Concessions manager on purchasing food, etc. at Costco or other store as needed

Otter Eatery - Sales of concessions during home meets.

Hospitality Coordinator - Responsible for coordinating food and drinks for officials, timers, and coaches during meet breaks and water for timers and officials during the meet. This includes setting up food in the clubhouse and soliciting donations of food/paper good, clean up. (Keep receipts)

Provide Hospitality Items - Provide baked goods or purchased items and drinks for Hospitality to Meet Volunteers

Grill Helpers - Grill helpers should help grill, wrap food, and take it to the Otter Eatery.

Grill Master - Ensures that the grill is in good working order, sets up grill area and grills and wraps for Home B Meets and Events where grilling is offered.

Away Meets

Assistant Head Timer - We will need an Assistant Head Timer at all away meets. This role supports the Head Timer of the home team and also acts as an extra timer if one of the timer's watches malfunctions. Assistant Head Timer works the entire meet.

Starter (MCSL Training Required) - The Starter has complete control over the swimmers from the time the Referee signals the start of the race until after a fair start has been achieved. He/She calls the swimmers to their starting positions and to "take their mark" and indicates if any false starts have occurred. We need a Starter for every Away Meet.

Social Events

Activity Coordinator - Arrange and coordinate team social events, activities and fun! Organize volunteers for social events

Teen Night Coordinator - Plan and coordinate Teen Night

Teen Night Helper - Help serve food, organize, and chaperone Teen Night

Family Fun Night Coordinator - Coordinate Event, prepare sign up genius for events, volunteers, etc. Ensure event runs smoothly

Pancake Breakfast - Coordinate Event, prepare sign up genius for events, volunteers, etc. Ensure event runs smoothly. Must set up, clean up and attend entire event. Purchase items as needed. (Keep receipts**) or request topping donations.

Green & White Day - Work with Activity Coordinator to Organize event. T-shirts, inflate gators, gather change heavy on the pennies, etc.

Pep Rally Coordinator - Work with Activity Coordinator to Organize event. Opening Pep Rally: green water in milk jugs, green morph suit, Otter Flag

Pep Rally Grill Helpers - Grill helpers should help grill, wrap food, and take it to the Otter Eatery.

Ice Cream Day - Work with Activity Coordinator to Organize event. Request Donations for ice cream and toppings: sprinkles, chocolate, fruit syrup, whipped cream, etc., Organize volunteers for serving. Must attend and assist for the entire event.

Pasta Night - Must set up, clean up and attend entire event. Work with Activity Coordinator to Organize team Pasta Night - pasta, sauce, other fixings.

Donut Breakfast - Must attend the entire event. Organizes the donuts and toppings, coordinates swimmers, and help with set up and clean up.

Banquet Coordinator - Work with Activity Coordinator, Trophy Coordinator, Little Otters Coordinator, Coaches, Board, Senior Recognition Coordinator to organize Banquet Location, food, slide show

Banquet Helpers - Work with Activity Coordinator, Trophy Coordinator, Little Otters Coordinator, Coaches, Board, Senior Recognition Coordinator to organize Banquet Location, food, slide show

Pizza Night Coordinator - Collects pizza orders 1 week before event. Orders and distributes pizza. Must attend, coordinate, and assist for the entire event.

Bingo/Cupcake Wars Coordinator - Must attend the entire event. Coordinates Bingo, Cupcake baking, icing, toppings, donations, set up and clean up.

Pasta Night Pot Luck - Must attend the entire event. Organize items to bring by last name (A-I Pasta Main Course, J-O Salad or Side Dish, P-Z dessert)

Other

Merchandise Manager (Board Role) - Determine and order team T-Shirts, Coach and Jr coach attire. Determine and set up ordering team suits, caps and Otter spirit wear.

Senior Recognition Coordinator - Organize senior recognition at last home A meet. Request photos of seniors, make videos, create posters, banners, balloons, etc.

Jr. Coach Coordinator - Assist Coaching staff with organization of Junior Coaches per the Head Coach's instructions. Provide appropriately completed SSL forms for each active Junior Coach.

Pre-Team Coordinator (Board Role) - Work with Coaching Staff to provide Little Otters' in water assigned coaches, attend Little Otter practices and meets, organize mini meets and B meet participation as needed. Organized Little Otters end of season celebration after or in place of a regular practice.

End of Season Video - Work with photographers to create keepsake videos for the season. This is open ended and a great job for those who are creative.

Trophy Coordinator - Work with Coach/A rep to order correct trophy, pick up, sort, set up trophies at the banquet:
